PropSuite ("we", "our", or "us") is a CRM and automation platform built for property agents. This Privacy Policy explains how we collect, use, disclose, and protect information when you use our platform at propsuite.ai.

By using PropSuite, you agree to the collection and use of information as described in this policy.

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, and profile information provided via Google, Meta (Facebook), or email sign-in.

WhatsApp Business Information

If you connect your WhatsApp Business account, we store your WhatsApp Business Account (WABA) ID, Phone Number ID, and an encrypted access token issued by Meta. This allows PropSuite to send and receive messages on your behalf through the WhatsApp Cloud API.

We do not store the content of personal WhatsApp conversations. Only messages to and from contacts you have classified as work-related (leads, clients, tenants) are stored for CRM purposes.

Contact & Lead Data

Contact information (names, phone numbers, notes, property preferences, conversation history) that you add or import into PropSuite is stored securely and is only accessible by you.

Usage Data

We collect standard web analytics including pages visited, features used, and device/browser information to improve the platform.

3. How We Use Your Information

• To provide and operate the PropSuite platform and its features
• To send WhatsApp messages to your contacts on your behalf (only with your explicit configuration)
• To generate AI-powered briefs, summaries, and suggested replies using your contact and message data
• To send you platform notifications, product updates, and support communications
• To improve, debug, and secure the platform

4. Meta / WhatsApp Integration

PropSuite integrates with Meta's WhatsApp Business Platform (Cloud API). When you connect your WhatsApp account:

• We request the following Meta permissions: whatsapp_business_management, whatsapp_business_messaging, business_management, and public_profile
• Your access token is encrypted at rest using AES-256 encryption
• We do not sell or share your WhatsApp credentials with any third party
• You may disconnect your WhatsApp account at any time from Settings → Integrations

5. Data Sharing

We do not sell your personal data. We share data only with:

• Service providers — cloud infrastructure (Vercel, Neon), AI providers (Google Gemini, OpenAI), and email delivery (Resend), solely to operate the platform
• Meta / WhatsApp — to deliver messages through the WhatsApp Cloud API
• Legal compliance — when required by law or to protect the rights and safety of users

6. Data Retention

Your data is retained for as long as your account is active. If you delete your account, your personal data and contact records will be permanently deleted within 30 days. Some anonymised usage data may be retained for analytics purposes.

7. Security

We implement industry-standard security practices including encrypted data transmission (HTTPS/TLS), AES-256 encryption for sensitive credentials, and access controls. No system is 100% secure; please use a strong, unique password and keep your account credentials safe.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Export your data in a portable format
• Withdraw consent for data processing

9. Cookies

PropSuite uses essential cookies for session management and authentication. We do not use advertising or tracking cookies. You may disable cookies in your browser settings, but this may affect platform functionality.

10. Children's Privacy

PropSuite is not directed at individuals under 18 years of age. We do not knowingly collect personal data from minors.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or an in-app notice. Your continued use of PropSuite after changes are posted constitutes your acceptance of the updated policy.
